Privacy Policy

Last updated: September 28, 2026

This Privacy Policy explains how PlanMyCal ("we", "us", or "our") collects, uses, and shares information when you use the PlanMyCal application (the "Service"). It works together with our Terms of Service.

Information we collect

Information you provide in the app

  • Tasks, descriptions, due dates/times, durations, priorities
  • Timemaps, task lists, and scheduling preferences (including timezone)
  • Billing information needed to manage a Pro subscription (processed by Razorpay)

Information from Google

If you connect a Google account, we use Google sign-in to access Google Calendar. We may access:

  • Your email address, name, and profile picture.
  • Busy and free times from your calendar so we can find open slots. When scheduling, we query about the next 60 days of availability, not your full calendar history. The in-app calendar may also load events for the dates you are viewing. We do not collect meeting guest lists or attendee identities.
  • Details of calendar events that PlanMyCal creates for your scheduled tasks.

Information from Microsoft

If you connect a Microsoft account, we use Microsoft sign-in to access Microsoft Outlook Calendar.

Technical and usage information

  • Session cookies and related authentication information (to keep you signed in)
  • Basic logs necessary to operate and secure the Service (for example, error logs)
  • If you accept analytics cookies: page views, device/browser information, approximate location derived from IP address, and whether you sign up, connect a calendar, schedule, or check out. We use Google Analytics 4 for this. We do not send task contents or calendar event details to Google Analytics. We do not request your device GPS or browser location.

How we use information

  • Provide core features, including creating tasks and scheduling them into your calendar
  • Maintain your preferences (like calendars selected for availability and your timezone)
  • Authenticate you and prevent unauthorized access to your account
  • Operate, troubleshoot, and improve the Service
  • Understand how people use the Service (for example, whether they connect a calendar or complete a schedule) so we can improve onboarding

How we share information

We do not sell your personal information. We share information only as needed to provide the Service, including:

  • With Google: we read busy times from your Google Calendar and write events for tasks you schedule
  • With Microsoft: we read busy times from your Microsoft Outlook Calendar and write events for tasks you schedule
  • With Google Analytics: usage data described above, only if you accept analytics cookies. Google LLC may process this data on servers outside your country, including in the United States. See Google’s Privacy Policy and how Google uses information from sites that use its services.
  • With Razorpay: name, email, and payment details needed to process Pro subscriptions
  • With service providers: infrastructure providers that host the Service and its database (if applicable)
  • For legal and security reasons: we may share information if we believe in good faith we must — to comply with applicable law or a lawful request (PlanMyCal is based in India, so Indian law applies to us; other laws may also apply, for example because of where you live), to enforce our Terms, or to protect PlanMyCal, our users, or the public from harm or abuse

Cookies

We use cookies and similar storage. Strictly necessary cookies run without a prompt. Analytics cookies are used only after you accept in the cookie banner.

  • Sign-in cookie (for example connect.sid): keeps you signed in. Strictly necessary. Lasts up to 14 days.
  • Consent preference (pmc_analytics_consent): remembers whether you accepted or rejected analytics, in a cookie and in local storage so we do not ask again on later visits. Lasts up to 1 year.
  • Analytics client id (pmc_ga_cid): set only if you accept, so browser and server usage events can be associated. Lasts up to 1 year.
  • Google Analytics cookies (such as _ga and _ga_*): set by Google Analytics only if you accept. Typically last up to 2 years. We do not enable Google advertising cookies or ads personalization.

Calendar provider data use (Google and Microsoft)

PlanMyCal’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google Calendar data is not sent to Google Analytics.

PlanMyCal's use and transfer of information received from Microsoft Graph APIs adheres to Microsoft's applicable terms and policies. Microsoft Outlook Calendar data is not sent to Google Analytics or used for purposes beyond providing the scheduling features you request.

AI features (Google Gemini)

If you choose Ask, Plan My Day, Magic Subtasks, or AI parse, the text you submit and related task titles, descriptions, and calendar event titles may be sent to Google Gemini to generate a response. We show a one-time notice and do not send that content until you acknowledge it. What Next suggestions are computed in PlanMyCal and are not sent to Gemini. Gemini requests are limited per account per day in your timezone. See Google’s Privacy Policy.

Data retention

  • App data (tasks, timemaps, lists, settings) is stored until you delete it or the deployment operator removes it.
  • Calendar provider access tokens (Google or Microsoft) are stored to keep the Service connected to your calendar account until you revoke access or the tokens expire.
  • Google Analytics retains measurement data according to the property’s data-retention setting in the Google Analytics admin (typically 2 or 14 months for event data).

Your choices

  • You can revoke the Service’s access to Google in your Google Account permissions, or to Microsoft in your Microsoft Account app permissions.
  • You can delete tasks, timemaps, and lists within the app.
  • You can sign out, which ends your current session on this device.
  • You can accept or reject analytics cookies in the cookie banner. Rejecting analytics does not affect sign-in or scheduling. You can change this later with Cookie settings.

Security

We use administrative and technical safeguards designed to protect information. No internet service is perfectly secure. Use a strong unique password and keep your connected Google or Microsoft account protected.

Children’s privacy

The Service is not directed to children under 13 (or the minimum age required in your jurisdiction), and we do not knowingly collect personal information from children.

Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version in the Service and update the “Last updated” date above.
