Task splitting into chunks Pro
Have a 3-hour project but only 45-minute openings? Pro users can distribute long tasks into custom chunks (e.g., 30–60 min each) across multiple free slots, complete with (Part 1/X) labels. Free users schedule tasks as single blocks only.
Timemaps: set your work windows
Control when tasks appear. Set specific time windows—like 10AM–7PM for work days, or 9AM–1PM for deep focus—and tasks will only schedule inside those hours. Perfect for protecting evenings, weekends, or low-energy periods.
Smart repeating tasks
Repeat tasks on your terms:
- After completion: repeat at any chosen cadence (
ndays, weeks, months, or years after you finish). - On schedule: repeat daily, weekly, monthly, or yearly on calendar dates.
Live time tracking
Start, pause, and stop timers directly on any task. Compare your estimated duration against actual time spent to understand your pace and improve planning accuracy.
Subtasks & checklists
Deconstruct ambitious projects into nested subtasks. Enjoy priority inheritance, reordering, visual completion progress, and cascading finish actions.
15-minute grid & shortcuts
Drag tasks onto a clean 15-minute grid. Use ⌘K or Ctrl+K to open the command palette, or ⌘⌥N or Ctrl+Alt+N to add a new task.

Frequently Asked Questions
Everything you need to know about PlanMyCal
What does PlanMyCal do with my calendar data?
We use OAuth (Google or Microsoft) and their respective calendar APIs strictly to check availability and create scheduled calendar events for your tasks. We do not store your calendar event details on our servers, and we never share or sell your data.
How does task splitting into chunks work? (Pro feature)
Pro users can enable task splitting on long tasks. For example, a 3-hour project can be split into 30–60 minute chunks. PlanMyCal finds multiple free slots that fit those chunks and distributes the work across your calendar as (Part 1/X), (Part 2/X), etc. Free users schedule tasks as single continuous blocks. All-or-nothing guarantee: your task is only scheduled if all chunks fit.
What are Timemaps and how do I set work windows? (Pro feature)
Pro users can create timemaps to control when tasks appear. For example, set "Work Hours" to Monday–Friday 10AM–7PM, or "Deep Focus" to 9AM–1PM. When you assign a task to a timemap, PlanMyCal only schedules it inside those specific time windows, protecting your evenings, weekends, or low-energy hours automatically.
What is Ask PlanMyCal and how does it work?
Ask PlanMyCal is your built-in conversational AI assistant, instantly reachable anytime via Ctrl+Alt+J (or Cmd+Alt+J on Mac). It reads your tasks, deadlines, priorities, and upcoming calendar blocks to answer questions like "What should I focus on next?", "Summarize my meetings and tasks today", or "Do I have any overdue tasks?". You can ask via text or voice, and it directly highlights relevant tasks.
How do the AI Day Planner and "What Next?" tools work?
Plan My Day uses Google Gemini to read your backlog and existing calendar commitments, balance upcoming deadlines and task priorities, and generate an optimal timetable. "What Next?" evaluates your upcoming free calendar blocks and surfaces the single highest-impact task that fits that specific window, complete with an instant focus timer.
How do Smart Add shortcuts work in task input?
You can type prefix shortcuts right inside any task input. Type !p0 to !p5 for priority, ~date or time for start time, ^date or time for due date, =45m for duration (or =2h/30m for split chunks), *daily or *weekly for recurrence, and @timemap for work windows. As you type, the form updates in real time with interactive preview chips.
Can I track actual time spent on tasks?
Yes! PlanMyCal includes built-in live time tracking. You can start, pause, and stop timers directly from your task list, logging actual time spent against your estimated duration to help you plan future tasks more accurately.
How far ahead does PlanMyCal schedule?
We look about 60 days ahead for free time on your calendar. Recurring tasks due later stay in your task list and get a calendar event as they come into that window. If a task due in those 60 days cannot fit, it shows up as a scheduling issue.
Which calendar providers can I use with PlanMyCal?
PlanMyCal supports both Google Calendar and Microsoft Outlook / Office 365. You can connect Google and Outlook on any plan. Free accounts can select 1 calendar for availability checks; Pro accounts can select up to 5 calendars across Google and Microsoft to cross-check busy time and prevent double bookings across personal and work schedules.
Is PlanMyCal affiliated with Google?
No. PlanMyCal is an independent productivity platform built to simplify task scheduling. We utilize Google's and Microsoft's calendar APIs but are not endorsed by or affiliated with Google LLC or Microsoft.
